1. Context
USTH, the University of Science and Technology of Hanoi, also called “Vietnam France University”, is a public university of Vietnam established in 2009 under an Intergovernmental Agreement between Vietnam and France. USTH benefits from a strong support from the VAST (Vietnam Academy of Science and Technology) and a Consortium of 40 French universities and research institutions.
As a NMU (New Model University), USTH is research-oriented, aims for international standards, with all trainings in English at Bachelor, Master, and PhD levels. The training programs of USTH follow the Bologna model and have been accredited by HCERES (The High Council for Evaluation of Research and Higher Education in France). USTH focuses on promoting high quality training programs in parallel with research activities and strong connections with enterprises.
The DRITT (Direction of Research, Innovation and Technology Transfer) is in charge of advising the Rector-board on scientific matters, of managing the scientific research and technology transfer activities, as well as developing business connections and activities of the University. So doing, DRITT is interacting transversely with most departments and teams of USTH, in various modes (requesting or providing information, or service, or merely for coordination purposes).

USTH is searching for the : Executive Administrative Assistant of the DRITT
3. Scope of work
- To assist the Leaders of DRITT in implementing the tasks and functions of DRITT;
- To be in charge of all administrative activities of DRITT;
– to fulfil clerical duties : e-dispatch, drafting of letters, planning of meetings;
– to administer calls on research fields: announcements, follow-up, tracking deadlines, filing;
– to program and organize juries;
– to keep track of progress and remind laureates of deadlines;
– to administer the corresponding budgets, payments and reports;
– to maintain efficient documentation of DRITT for internal purposes;

- To be the contact point of DRITT towards internal and external stakeholders :
- To be the contact point to organize seminars and workshops on research;
- To keep track of USTH scientific production: systematic collection of data (reports, publications, projects, patents etc…) and preparation of statistics for reports on research data of USTH; to update statistics quarterly,
- To summarize research-related proposals, reports, documents of varied formats;
- To perform other tasks as assigned by the leaders of DRITT.
4. Qualifications, skill and experience requirements
- Bachelor degree in natural sciences, technology, development studies, management or related majors;
- High-level written and verbal communication skills in both English and Vietnamese; (knowing French or another language is an advantage);
- Result-oriented and self-motivated attitude, with relevant track record of effective and efficient work in complex organizations (project-management team, matrix organizations, task-forces…)
- Well-developed organizational and management skills, including time management and ability to prioritize and manage a range of tasks pro-actively
- Positive behaviour, sociable, action-oriented, enthusiastic, friendly and out-going, with the capacity to keep focus and priorities in mind in all circumstances.
